My Documents Are Missing!

I can tell that it's been a little over 3 months since we've taught the "DocBox" class.  I can only say that because I've received numerous phone calls this week from Agent's about how they can't find their documents in the DocBox...they've just "disappeared"!

No sweat, your documents have not disappeared...they are still there.  However, if they are not showing up, it just means that the document is now over 90 days old.  The default viewing period of Transaction Desk for DocBox is 90 days.  If you would like for the default to be set differently, then you can change it in "Settings" tab at the top of your Transaction Desk account.

To find your missing documents, go to your DocBox by clicking on the link at the top labeled "DocBox". You will want to change the drop-down box in "VIEW OTHER PERIODS" to change your setting from the default 90 days to further back.  Once you click "Go", your page will refresh and your disappearing documents will reappear for you.  This will NOT change the default of 90 days, so after you leave the DocBox screen, the 90 day default period will come back.  To change the default search criteria, you need to change it in the Settings tab.

Reminder! Shred Your Documents!

Transaction Desk allows us to be a little bit "greener" with the ability to go paperless. But we want to warn you to be careful when you begin to get rid of all that paper containing sensitive information, such as client social security numbers, loan information, etc.

In 2005, The FACTA Act (Fair and Accurate Credit Transaction Act) was put into place by the Federal Trade Commission.  This Act is to protect consumers from identity theft and requires that any association that is governed by the FTC is required to follow this rule.  This includes the REALTORĀ® organization.  The Act stipulates requirements for information privacy, accuracy and disposal of consumer information collected.  Which (in layman's terms) means that you are required to destroy (shred) this paper before you stick it in the trash can. If you are REALTORĀ®, then you must follow this act or risk being fined by the FTC.  These fines are $2,500 by Federal for each violation and $1,000 by State for each violation.  Ouch!

Therefore, this blog post is serving as a reminder. If you are putting all of your real estate transactions into Transaction Desk and getting rid of the paper in your office, then this reminder is to make sure that you are properly disposing of these documents.  Happy Shredding!

Important Press Release From Instanet Solutions Regarding Top Producer

Please read the following press release from Instanet Solutions regarding the launch of an exciting, new integration with Top Producer to production. This integration allows our users to import their Top Producer contacts into their transactions within InstanetForms and TransactionDesk. Once again, we are reducing the need for REALTORSĀ® to  redundantly enter data into multiple systems. Integrating Top Producer with our platform gives our mutual users the ability to manage virtually all of their client communication and service from first contact all the way to close - as efficiently as possible.

More information will be coming soon!

Backing Up Your Data to an External Hard Drive

During today's DocBox training class, several questions were brought up about backing up the data that you put into Transaction Desk.  We suggest using the Transaction Desk DocBox to upload any document for online storage whether or not it is related to a transaction.  Once you have those documents uploaded, chances are you will want to back that data up.  It's a good idea to have a place where you can back up all of your data and we suggest using an an external hard drive for your backups.

Make The DocBox Work For You

Don't miss Wednesday's (March 26th) TD training module on using the DocBox.  If you're wanting to go paperless in your office and cut down on the chaos that comes with boxes and boxes of files, then the TD DocBox is the key to making this happen!  You can store more than just transactions...store everything from receipts, to insurance policies, drivers license information, to almost anything.  It's super easy to use and will make you more "green".

Make sure you call Renee at The Board (417-883-1226) to register.
