Transaction Desk is the new system that has been purchased and implemented by The Greater Springfield Board of REALTORS. It is a free service provided by The Board for members of the board. In layman's terms, it is a online filing cabinet for you to keep all of your real estate transactions managed in an efficient and productive manner.
Those of you who are agents that use transaction management systems like Top Producer, Agent Office or Act! this is a similar way for you to get organized with your transaction details, contact information, tasks lists and calendar appointments. And it can all be kept in one place for you to access from anywhere you have an internet connection.
The biggest suggestion we can offer is for you to get into Transaction Desk and play around with it. Get the feel of it and take advantage of its benefits. Transaction Desk Training Classes will be offered through the Greater Springfield Board of REALTORS and are taught by Paul Dizmang, Jessica Hickok and Scott Rose. You can always call The Board to get registered for one of these free classes.
Transaction Desk Overview Features:
• Built-in Electronic Forms
The Transaction Desk service includes Instanet Forms. Instanet Forms allows you to easily create and edit real estate contracts and forms online.
• Auto-Populate Transactions
Populate transactions and contracts with information from MLS listing data, tax-roll data and/or previously populated transactions and forms. Custom integrations with brokerage systems are also available.
• On-Line Document Management and Storage
Take your business online. Documents can be uploaded to the system via PC upload, email or fax. Documents can be converted to PDF or remain in native format. Full document history logging.
• Appointments, Events & Tasks
Track important dates and deadlines. Transaction Desk can notify users of upcoming events or scheduled due dates with email and system pop-up reminders.
• Calendars
View appointments, events and tasks in a calendar format. Users have the ability to share calendars with other Transaction Desk users.
• Task Templates
Allows insertion of multiple tasks into a transaction with just a few mouse clicks.
• Contacts Database
Stores information for commonly used parties such as Agents, Brokers and Lawyers. The information can then be used to auto-populate transactions, contracts and forms. Contact databases can be shared among multiple Transaction Desk users.
• Synchronize Appointments, Tasks and Contact to MS Outlook and Palm
Appointments, tasks and contact information can be sent to or imported from MS Outlook and Palm devices. This reduces redundant entry and allows you to access your information where it is most convenient for you.
• Off-line Archiving
Transactions and forms can be archived to an indexed PDF file. This file can easily be saved to your hard drive or copied to a CD or DVD.
• Views & Invitations
Gives non-Transaction Desk users (transaction coordinators, clients and third-party service providers) access to different views of the transaction data and associated contracts. You can easily control what everyone sees.
• Service Providers Database
Stores information for commonly used parties such as contractors, landscapers and plumbers. This information can be used to auto-populate service request orders.
• Wizards
Helps speed the process of starting new transactions, sending contracts for signing via fax and/or email, and creating new workflows.
• Audit Trails and Logging
Tracks access to the service, call logs, activity logs, incoming and outgoing fax and email logs. All edits and modifications to each contract and form within the Transaction Desk system are stored so a complete revision history is available.
